Your personal information
Personal information means any information relating to an identifiable person who can be directly or indirectly identified, in particular by reference to an identifier. Anything we do with your personal information (from the point at which we collect it until we delete it from our systems) is called processing.
In nearly all cases, the legal basis for processing personal information of individuals by the Company is that it is necessary to prepare or maintain a contract that the Company has in place with the individual, or the individual’s organisation or because the Company was requested to take specific steps towards entering into a contract.
As a private-sector organisation, we may occasionally also consider the ‘legitimate interests’ basis of Article 6(1)f of GDPR (https://eur-lex.europa.eu/legal-content/EN/TXT/PDF/?uri=CELEX:32016R0679&from=EN) for processing personal information when there is no contract being prepared, but there is a legitimate interest for both parties and necessity for processing the data. This will in all cases, be balanced against the individual’s interests, rights and freedoms. The Company will ensure that there is no unwarranted impact on individuals and that the personal data processing is fair, transparent and accountable. In practice, most cases of processing information under the GDPR legitimate interest basis are using individual’s email addresses to exchange information between the Company and the individual’s organisation.
In some occasions, there is a lawful basis to process personal data, i.e. to comply with a common law or statutory obligation. This includes for example, providing auditors with invoices for a specific project. The Company will ensure that accountants and auditors are GDPR compliant and that suppliers, whose names and addresses are included on the invoices are aware of the Company’s privacy statement.
The Company will never pass on personal data to third parties.
The Company never collects any sensitive personal information, which is a category of personal information that includes data on racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data, data concerning health etc.
It is important that the personal information that we hold about you is accurate and current. Please let us know if your personal information changes during your relationship with us by contacting us.
